Schedule ("we," "our," or "the Service") is a meeting scheduling tool that integrates with Microsoft 365. This Privacy Policy explains what data we collect, how we use it, and your rights regarding that data.
1. Data We Collect
When you use Schedule, we collect the following information:
- Account information: your name and email address, provided via Microsoft OAuth sign-in.
- Calendar data: calendar events and availability information retrieved through the Microsoft Graph API to display your open time slots.
- Meeting data: booking details including participant names, email addresses, selected time slots, and any notes provided during scheduling.
2. How We Use Your Data
We use the data we collect for the following purposes:
- Scheduling: displaying your availability and allowing others to book meetings with you.
- Calendar sync: creating and updating calendar events in your Microsoft 365 calendar via the Microsoft Graph API.
- Email confirmations and reminders: sending booking confirmations and meeting reminders to you and your invitees.
3. Third-Party Services
Schedule integrates with the following third-party services:
- Microsoft Graph API: used to read your calendar availability, create calendar events, and send email on your behalf. Subject to Microsoft's Privacy Statement.
- Zoom: used to create video meeting links for scheduled bookings, when enabled. Subject to Zoom's Privacy Policy.
4. Data Storage
Your data is stored in a PostgreSQL database hosted on Neon, a managed cloud database provider. Data is encrypted in transit using TLS. We take reasonable measures to protect your information from unauthorized access, alteration, or destruction.
5. Data Retention
Booking data and account information are retained for as long as your account is active. When you delete your account, all associated data is permanently removed from our systems.
6. Your Rights
You have the following rights regarding your personal data:
- Access: you can request a copy of the personal data we hold about you.
- Correction: you can request that we correct any inaccurate or incomplete data.
- Deletion (right to erasure): you can request that we delete your personal data. You can also delete your account at any time through the application settings, which removes all your data.

7. Cookies
Schedule uses essential cookies only. We use an authentication session cookie (managed by NextAuth) to keep you signed in. We do not use tracking cookies, analytics cookies, or any third-party advertising cookies.
8. Changes to This Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the "Last updated" date at the top of this page. Continued use of the Service after changes constitutes acceptance of the revised policy.
